Workflows allows you to build a preset list of Tasks that match your consistent processes for caring for your plants. With a Workflow, you can build out multiple tasks that can be triggered by the day in the plants life cycle. Instead of creating new tasks each time you want to add steps to a new planting, Workflows allows you to create those tasks one time and then apply them to any future batches as you choose without all the data entry.
Clicking the Workflows tab will bring up your available Workflows options. If you’re just getting started, this will be empty. Select "Add Workflow" in the Workflows tab to get started!
Enter a name for your Workflow. You can create any number of Workflows so try naming your Workflow related to type of cultivation you will be applying it to. For example, ’10 week flowering’ or ‘Indica dominant’ or ‘My new test technique’. Next, select the facilities you’d like to be able to use this workflow in. Click Save and you’ll be moved to the Task details portion of a Workflow.
Each phase in the plant lifecycle has it's own section and set of Tasks. For example, if you have tasks under the Immature section of your workflow, these will be applied at the Immature stage on the associated plant batch. Note that the day in the life cycle is based on the number of days within that growth phase.
You’ll notice that Flip to Flower and Harvest are already set on your Workflow for 30 days, in the Vegetative phase and 60 days, in the Flowering phase, respectively. These tasks are milestones and don’t automatically flip plants to flower or harvest. We recommend you set the dates on these two milestones to match when the batches you’d use this Workflow on would reach their flower and harvest dates. You can also use the 3 ellipses to the right of any Task in a Workflow to delete it from your list. They can be adjusted at any time.
Adding Tasks to Growth Phases
Let's add our first Task to the Immature Phase of this Workflow. Click the + sign on the right to open the Task options for adding to this Workflow. The sections and what they mean are described below:
Category: The same Categories for creating Tasks that we cover HERE
Adding a Category can add additional task info like Nutrient, IPM type, Measurement type, etc.
Recurrence: Daily, Weekly or Monthly. Weekly and Monthly recurrences will repeat the task on each corresponding week or month, based on the days of the week you choose. For example, choosing a Feeding task with the Weekly Recurrence of 1 week, every Monday, Wednesday and Friday will mean that the task will repeat on each M, W and F, of each week, until the end date you have chosen.
Daily recurrence works a bit differently. You can choose how many days pass before the task repeats. If you set it to 2, then every 2 days the task will occur again, regardless of the day of the week. Use Daily Recurrence when setting a consistent task that happens after a set amount of dates.
Start on Day in Phase/ End on Day In Phase: Start day will mean the day in that plants life cycle, relative to phase. For example, a brand new planting made today in Trym will be Day 1 Immature. Whereas a back dated or promoted batch to Vegetative would be Day 1 Vegetative, and the same into Flowering. This is based on your planting date and the phase you have moved that batch into.
When setting the start date for an Immature task, imagine how many days you intend to keep that plant in the Immature cycle. Schedule your tasks accordingly. When you add new Tasks to the Vegetative Cycle, those tasks will take over from Day 1 Vegetative.
The Description field is also optional. Use that field to add more detail for your Tasks if needed. Click Save when you are ready to add this Task to your Workflow.
As you add Tasks to the Workflow, be sure to keep track of starting and stopping dates on Tasks to be sure you aren’t overlapping details. Also, be sure you have the Task applied to the appropriate phase. If you have steps that need to be done in Vegetative, you won't want them to be listed in the Flowering phase. The Type column shows you the type of task to easily see what actions will be included in your Workflow. You can always edit or remove Tasks via the 3 ellipses to the right of a Task in the list.
Using your Workflow and Applying Workflows to Batches
Workflows must be applied to a specific Batch to take effect. These can be added on the creation of a new planting, via the Workflows option in the Add Batch feature in the Batches section.
You can only apply one Workflow to a batch, however you can always add additional tasks to the batch separate from the workflow on the calendar or batch detail menus. For example, if you notice some suspicious dots on leaves, you can add an extra IPM scouting task for the batch on the calendar instead of adding it and reapplying the Workflow.
You can also choose to Edit a batch at any time with the 3 ellipses to the right of the batch to add the Workflow.
Note: The video at the top of the article will show you how a Workflow is added to a batch. Keep in mind that if you update a Workflow by adding or removing Tasks, you will need to remove the Workflow from a Batch it's already applied to and save, then re-add the workflow to bring in the new changes you have made.
Days in Phase
Be sure to take note of the number of days since their planting, as the number of dates passed will apply to your Start and End date on Workflows tasks. You can check the day within a phase for a batch by the Day column in the Batches view. The screenshot below shows how I have 1 batch at Day 1 in immature while another is on Day 14.
Workflows can be freely edited, removed or deleted entirely. Feel free to try whatever combinations you want in your tasks, as you can always remove the Workflow from the batch and start back at square one. Please reach out to us via chat for any questions or help with getting started on Workflows!
